Reporting FAQ

Q: What reporting tools are available on the Advorto system?
A: Advorto provide comprehensive reporting tools enabling users to self serve both ad hoc and custom reports. There is the ability to report on any data captured on any system, as well as providing real-time access to your data and full integration with Excel. A user is able to view reports, generate custom queries to visualise and export data.

We offer configurable time-based summaries based on any data gathered in the application form. It’s possible to do quick comparisons of the same report at different stages of the process, e.g. numbers of applications from each media source, age, gender, nationality, etc. Advorto preconfigure a series of popular reports, ready for use on go-live. A user can click a report to further customize the data and export as a .CSV.

Pivot reports showing e.g. the proportion of male to female candidates at key stages of the application process can be created within a few clicks via a user-friendly reporting interface. 

On source tracking, our campaign module tracks candidates’ landing and referrer URLs to enable accurate reporting on the effectiveness of your online job advertising campaigns. 

 

Q: How are management information reports produced?
A: Advorto delivers several alternative methods of producing management information reports – these can be exported into Excel spreadsheets with a single key click. The system also enables ‘live link’ capability between Advorto and Excel – as the the run time parameters are changed and the report re run, the data produced is automatically re uploaded into Excel for ongoing manipulation.


Q: What standard reports an be run off automatically?
A: The system delivers a series of standard reports – these have run time parameters that can be set prior to running the report. All reports may be started manually or alternatively reports can be set to run as batch operations and run at set periods, dates or time e.g. run ethnic candidate by vacancy report each day at midnight. There are a range of standard reports delivered with the system – these are primarily time and cost based, and statutory reports such as:
• Average time to hire
• Cost to hire – average and individual
• Agency efficacy
• Age / gender/ race / disability profile of applicants / stages achieved in progressing through the selection process
• Applicant counts for each vacancy
The system is delivered with its own embedded report writer that clients may use to develop their own reports – these can be for individuals or for public use (with run time parameters being set by the user). Reports can be run at set period, and sent to a selectable list of recipients as required.


Q: Can Advorto help build a reporting strategy and tailored reporting? 
A: The Advorto Analytics reporting module has the ability to provide access to all data collected within your Recruitment Management System. Advorto would work with you to determine the point at which the time to hire metric ends and finishes. Care would need to be taken if different business areas have the flexibility to vary the recruitment process or if a number of Heads are required to fill a vacancy. For Cost per Hire at the requisition stage it is possible to capture anticipated recruitment costs associated with each vacancy. This initial costs could be validated at the end of the cycle, if necessary including costs associated with advertising costs, Agency costs. Advorto would work with you to determine an appropriate reporting strategy. Reports can also be created to report on the effectiveness of sources, recruiter and HM's.


Q: What is Advorto Analytics?
A: Advorto Analytics is a sophisticated reporting tool for creating reports from data stored within the Advorto Recruitment Management System. It is a proprietary reporting tool, using a copy of the entire dataset optimised for reporting purposes and generated nightly. This gives a stable data set to work on during the day. The system allows sophisticated raw data reports, pipeline reports and pivot reports, with advanced filtering and grouping functionality, to be created from any data in the system. As part of the implementation training on the Analytics product will be given. A vacancy process status report can be created within the system which would detail the status of each vacancy within the system, for individual vacancies a simple on-line enquiry can be undertaken.


Q: Can Advorto provide compliance reports - diversity/age/gender?
A: The Advorto system has the ability to report on candidate diversity data and the vast majority of our clients have an Equal Opportunity questionnaire attached to their application form within the system. An example of the diversity data on the questionnaire might include gender, ethnicity and disability. Typically diversity data is collated during the completion of the application form (with the exception of Northern Ireland where candidates are not obliged to complete the form). In order to minimise any form of bias during the recruitment process, the information completed by candidates on an Equal Opportunities form is not visible to Hiring Managers. The data collected is for reporting purposes only.


Q: How about Ad-hoc reports?
A: Advorto delivers several alternative methods of producing management information reports. Reports can either be created in the Advorto Back Office or the Advorto propriety reporting system, Advorto Analytics. Reports can be ad-hoc, real time, pivot reports, custom reports or web-based reports and dash-boards.


Q: Dashboard reports (bar graphs) - for line managers?
A: In the case of line managers, a number of dashboard reports can be displayed on user’s dashboards. This gives them pictorial information when they log onto the system, for a Hiring Manager this may include requisition pipeline, vacancy RAG, candidate pipeline etc. and based on the users’ access rights, they will only see the data pertinent to them.


Q: Ability to export reports into Excel, pdf, CSV?
A: Any lists of data from the back office (e.g. requisitions, vacancies, candidates, agencies, agents, assessment slots, etc.) may be exported directly as a .csv file, or "Live Linked" to Excel using Excel's standard "Data from web" features. Live Linking allows reporting to be done from within Excel which remains connected to the Advorto system and may be securely updated at any time (via a login), provided the user has an internet connection.


Q: Can the system report on specific metrics? e.g. time-to-hire; cost-per-hire; no. of days between each recruitment stage per candidate; previous company/university/degree/grade of hire; which interviewer has interviewed which candidate; diversity data vs. hires/rejections; ability to report free text data from candidate notes; interview no-shows; distances between candidate postcode and office location?
A: Our Advorto Analytics (reporting module) has the ability to provide access to all data collected within your Recruitment Management System.
Time - To – Hire: Yes, Advorto would work with BAE Systems Detica to determine the point at which the time to hire metric ends and finishes. Care would need to be taken if different business areas have the flexibility to vary the recruitment process or if a number of Heads are required to fill a vacancy.
Cost - per – hire: At the requisition stage it is possible to capture anticipated recruitment costs associated with each vacancy. No. of days between each recruitment stage: Yes, the majority of fields within Advorto are date stamped. This allows for appropriate calculations to determine duration.
Previous company / University / Degree / Grade of Hire: Yes, this data would be collected during the recruitment / selection process and can be reported on.
Interviewer has interviewed which candidate: Yes the Advorto system has the facility to report when each interview is completed.
Diversity data vs. hires / Rejections: Yes, this data can be reported against all stages of the recruitment / selection process.
Ability to report free text data from candidate notes: Yes, this would be simply determining a report in Advorto Analytics that looks at the relevant field.
Interview no shows: Yes, the system can report on this.
Distance between candidate postcode and office location. Yes, the system can report on this.


Q: Can the system report on candidate diversity data?

Q: Is the system able to distribute pre-determined reports automatically at user defined intervals?
A: It is possible to set up ‘live link’ reports directly to provide the recipient with the ability to update the data within the report as and when required at the click of a button.
Furthermore, many of our clients use the Advorto Front office or Recruitment Portal. This functionality is aimed at supporting Hiring Managers and Approvers in their recruitment activities. Four standard reports are available in this portal:
• Candidate Pipeline
• Approvals: Red, Amber, Green status
• My Vacancies: Red, Amber, Green, status
• Requisition Pipeline

 

Q: What reports are standard? Can we configure the reporting tool, so we can run customized reports? If not, do we have to pay each time we need a custom report? How long does a custom report take to be delivered to us?

Q: System user interface: Is there a dashboard for the internal recruiter and/or hiring manager? Can we tailor our dashboard and view?
A: There is a tailorable dashboard to present selected information for both internal recruiters and hiring managers
